To strengthen our Global Medical Affairs Team - with most members based in our Headquarters in Anderlecht, Belgium - we are looking to fill the position of Team Assistant.

As Team Assistant you like to work in an environment where you can:

As Team Assistant, you will contribute by:


  • Organizing business trips in line with UCB’s travel policy: travel/hotel arrangements, ground transportation, visa arrangements, …
  • Setting up meetings (internal/off-site): source off-site meeting venues, secure meeting rooms, catering, technical support,…
  • Handling purchasing requests: create purchase orders, manage the invoicing process
  • Processing expense reports
  • Coordinating paperwork for sponsorship / donations by adhering to the set compliance guidelines: manage ANFs, contracts, document filing,…
  • Supporting the development of PowerPoint presentations when requested
  • Actively engaging with other team members and assistants to ensure optimal and efficient collaboration
  • Acting as liaison between the team and other internal/external stakeholders
  • Actively using different communication and collaboration tools to share documents and information relevant for the team: OneDrive, Teams, Yammer,…


Interested? For this position you’ll need the following education, experience and skills:


  • English proficiency, Dutch and/or French
  • Bachelor’s degree and minimum 5 years of experience as team assistant
  • Proven experience to work in a fast-changing environment and deal with ambiguity
  • Proficient experience with Microsoft Office programs and quickly adapting to new systems
  • Dealing appropriately with confidential and sensitive matters
  • Open to feedback and proactively seek feedback
  • A first experience in pharma is a plus
