Disclosure Coordinator

To strengthen our Strategic Partnering and Medical Management Operations team, based in our Headquarters in Brussels, Belgium, we are looking for a talented individual to fill the position of: Disclosure Coordinator

 

As a Disclosure Coordinator you will be responsible for two system-related activities, namely acting as the administrator of Source Clear, the UCB system used for clearance of promotional, educational and press materials and the system administrator for Datavision, the UCB system for planning, preparation, review and sign off of scientific publications and internal review & approval of master disclosure documents.

  • Collaborate with varied and relevant internal stakeholders who are functional expert contributors
  • Own and manage processes relating to the relevant systems, including proactively identifying any needs for updates
  • Act as a system superuser

 

You will contribute by:

Having the following accountabilities for the SourceClear system:

  • Daily monitoring of Source Clear for the review and approval of product/disease promotional/educational/press material
  • Act as SourceClear business administrator, which includes the following activities:
    • Generates required SourceClear reports based upon pre-defined criteria
    • Reassigns document ownership as necessary based upon business changes (e.g. organization changes, role changes, onboarding of new stakeholders, etc.)
    • Act as the first point of contact for GCC SourceClear users through constant monitoring of the GCC mailbox (e.g. providing relevant system access, system questions, forwarding of relevant questions to identified stakeholder such as IT or GCC member, etc.)

 

Having the following accountabilities for the Datavision system:

  • Act as the Datavision super administrator, overseeing all Datavision activities and ensure appropriate use and user access levels for all type of users as well as all type of documents across all databases
  • Maintain overall database quality and ensure correct use of the Datavision across UCB and different document types (i.e. run quarterly reports to identify records with missing data, liaise with document owners and update missing information 
  • Liaise proactively with the publication process owner, the community of Publication Leads and other subject matter experts (SMEs) overseeing publications outside of Patient Value Units (PVUs) to build understanding, ensure Datavision configuration needs are met and ensure there is a good  understanding of the impact of upcoming changes on the configuration of supported system(s)

 

Interested? For this position you’ll need the following education, experience and skills:

  • Educated to Bachelor degree level
  • Strong project management skillsets and detailed oriented to ensure adherence to defined processes
  • Experience working in and coordinating cross-functional teams, including with external stakeholders
  • Experience working in the field of public disclosure, or demonstration of learning agility and interest
  • Experience in UCB’s vision for Disclosure and Clearance, or the ability to learn this area
  • Understanding of established standards development processes
  • Knowledge of Good Publication Practice and ICMJE Guidelines for scientific publications related to clinical research and healthcare
  • Experience in review/approval process and electronic systems
  • Excellent computer literacy including familiarity with MS Office applications
  • At least 3 years’ experience working in the pharmaceutical industry, specifically in medical affairs / medical operations
  • Good understanding of the pharmaceutical regulatory environment
