To strengthen our Administrative team, based in our US HQ in Atlanta, GA, we are looking for a talented individual to fill the position of: Assistant 


As an Assistant, you will provide administrative and technical support for a team of approximately 12 managers. Coordinate activities and ensure sharing of best practices with other assistants within group (if applicable) to ensure timely completion of quality deliverables. 


You like to work in an environment where you can: 

  • Provide administrative support and work in close cooperation with relevant Department Head and support Team.  
  • Coordinate schedules and calendars of team via Outlook and MS Teams
  • Make independent decisions regarding attendance/ conflicting meeting requests
  • Manage correspondence, purchase order creation/development and other office administration details
  • Create specific templates and troubleshoot (e.g. formatting, layout)
  • Draft and distribute meeting minutes as needed
  • Schedule and organize both domestic and international meetings (Face to face, Tele-Conference, Video Conference, Net Meeting etc.) 
  • Assist with budget tracking for the dept.


You will contribute by: 

  • Maintaining and organizing paper and electronic documents (e.g. training, organization charts, contact information) and filing systems as required.
  • Coordinating office space and equipment needs for the dept.(e.g. work space for visitors, meeting rooms computers/laptops.)
  • Ordering department/group office supplies and process invoices, check requests, and purchase orders. 
  • Making travel arrangements for Department Head - including: flight reservations, hotel accommodations, and expense report processing
  • Serving as ambassador for department to external visitors
  • Participating on various internal project teams
  • Such other responsibilities and projects that may be assigned.


Interested? For this position you’ll need the following education, experience and skills
Minimum Qualifications:

  • High School Diploma
  • At least 4 years experience as administrative assistant or similar role with a strong preference of having gained such experience in the pharmaceutical industry.   


Preferred Qualifications:

  • Bachelors Degree
  • Excellent written and verbal communications skills in English
  • Strong skills in other languages preferred
  • Familiarity with medical terminology and pharmaceutical terminology preferred
  • Work within an international team environment.
  • Interact with all levels in the organization.
  • Handle confidential information. 
  • Proficiency in MS Office Suite. 
  • Knowledge/understanding to operate office equipment (e.g. fax, copier, scanner, etc.) proficiently.
  • Strong analytical skills
