To strengthen our Immunology department in The Netherlands, we are looking for a talented individual to fill the position of:


Administrative Assistant Immunology Netherlands, at 50%


As an Administrative Assistant Immunology Netherlands, you will provide daily support to the local country team in the Netherlands. You are responsible for organizing, driving and following-up on administrative tasks related to the business in the ecosystem in scope.


You like to work in the field in an environment where you can:


  • Support the country teams in organizing external and internal meetings and ensuring internal processes excellence (ANFs, e-request, ORBIT).
  • Ensuring timely and accurate external compliance (act as first point of contact for rules & regulations, informing authorities), contracts, logistics, invitations and at all times in close collaboration with the team.
  • Work closely with the Finance department to secure that all financial matters also are handled in a compliant and effective manner.

In summary, administrators are key in guiding the country teams and ensuring seamless event execution towards patient value creation.


You will contribute by:


  • Ensure efficient daily first line support to the entire local Customer Table(s) (the CT) (e.g.: MSP, HCPP, SL, ESL, Market Access Mgrs)
  • Pro-actively initiate the administrative flow following alignment on event from team member; maintain continuous and close follow-up on projects and local events in relation to CT activities in the respective country
  • Be the back-up support for other Area administrators in periods of additional work, holiday or leave
  • Book hotel and travel according to guidelines for external guests
  • Support with the organization of internal group events
  • Contracts handling, shipment and archiving         
  • Update collaboration site and other corporate platforms with up-to-date information     
  • Handle grants and sponsorship
  • Ensure compliant process flows as per Area process and guidelines together with the local Compliance Officer
  • Assist with material, translations and proof readings                            
  • Be in charge of stock and send out material to field force, customers etc.
  • Practical support in relation to onboarding of new employees     
  • Various office management tasks and handling incoming mail


Interested? For this position you’ll need the following education, experience and skills:


  • Education in Business administration and/or experience with a proven track record of positive results
  • MS office and technical sense
  • Relevant pharma knowledge is an asset
  • Experience from a business support or coordinator role is preferred
  • Ability to manage and work in a complex and matrix driven organization
  • Customer oriented, Service minded and helpful               
  • Structured and able to prioritize                             
  • Flexible                   
  • Positive mindset                             
  • Accountable and possessing the “solve it- attitude”
  • Executive PA or Business administrative project management expertise
  • Excellent skills in Microsoft Office, (SAP) and other relevant approval systems understanding
  • Strong administrative skills and experience          
  • Excellent communication skills (written & spoken).
  • Languages: Dutch, fluent in English (both in written and orally).
