To strengthen our Market Access & Pricing - Immunology Group, we are looking to fill the position of: Assistant


About the Role

You will be responsible for:

  • Manage agenda, calls, emails and correspondence, as well as domestic and global meetings organization and business travel for PsA Global Patient Solution Lead BKZ, making independent decisions on attendance/ conflicting meeting requests
  • Responsible for domestic and global travel arrangements of the onsite team including: flight reservations, hotel accommodations, and expense report processing
  • Act as liaison between executive and staff, external/internal contacts and in regular contact with global Executive/Sr. Leaders and their respective Assistants
  • Provide and/or supervise assistance and logistical support on global and local events
  • Proactively coordinate budget tracking and budget preparation for the department
  • Liaise with vendors/suppliers on new and existing Master Service Agreements, Statements of Work and Consulting Agreements
  • Process POs, invoices, check requests
  • Improve or optimize working methods and procedures
  • Complete adhoc projects that may be assigned
  • Develop and maintain filing and archiving systems, centralize and send documents to
  • contract share.
  • Support with KOL-related activities (ANF drafting and submission; creation of PO; contracts; collecting KOL expenses and invoices; facilitating their timely payments)
  • Provide help with organisation of advisory boards in terms of venue booking (liaison with BCD), KOL travel organisation
  • Coordinate work space/equipment needs for visitors
  • Order team office supplies
  • Resolve varying practical problems managers might encounter e.g. changes in regulations and working procedures, incorrect or conflicting information or data, unexpected deadlines, unforeseen circumstances, rescheduling or cancelling, complaints, sensitive questions, etc.


About You

You should have:

  • Excellent written and verbal communications skills in English
  • Ability to prioritize concurrent assignments and meet timelines
  • Proactive with excellent planning and organizational skills to ensure effective and timely output independently
  • Strong detail orientation
  • Work within an international team environment with good cultural sensitivity
  • Professionally interact with all levels in the organization and external collaborators
  • Maintain confidential information.
  • Collaborative skills: strong interpersonal skills; strong focus on information exploring and sharing; must work effectively and cooperatively in a team environment
  • Reliable and professional with a good sense of humor
  • Advanced problem-solving skills to resolve complex problems
  • Desire and ability to rapidly learn new applications
  • Flexibility to work extra hours as necessary to meet the requirements of the job
