To strengthen our Immunology department in Sweden, we are looking for a talented individual to fill the position of:


Sales and Marketing Assistant Immunology Sweden


As a Sales and Marketing Assistant Immunology Sweden, you will provide daily administrative and organizational support to the local country team in Sweden. It requires close collaboration with the Immunology team as well as customer facing colleagues and other coordinators across the company.


You will contribute by:


  • Provide complete administrative and organizational support and assist Solutions Leads
  • Take responsibility for ad hoc projects whenever requested
  • Make purchase orders (PO's), obtain contracts with suppliers
  • Monitor stock of promotional material and distribute material
  • Support Marketing and produce certain promotional material and campaigns as well project lead of contact/processes with external vendors
  • Manage contacts with external mailing agency; and keep internal address lists up to date for use in external mailings
  • Administration of promotion materials in relevant system and handling material for approvals
  • Keep close co-operation with medical operations department
  • Administration of Purchase Orders
  • Assist the business with Account Payable/Financial Operations
  • Monitoring invoices i.e. coding of invoices, raise payment requests
  • Administration of new vendors
  • Create Purchase Orders
  • Handle expense claim forms associated to meetings
  • Liaise with internal and external stakeholders (agencies, service suppliers, HCPs, HCOs)
  • Support with the organization of internal group events     
  • Update collaboration site and other corporate platforms with up-to-date information
  • Be responsible for updates on the immunology website  
  • Handle grants and sponsorship
  • Ensure compliant process flows as per Area process and guidelines together with the local Compliance Officer
  • Assist with material, translations and proof readings


Interested? For this position you’ll need the following education, experience and skills:


  • Education: Bachelor’s degree in administration/Business Administration and/or experience with a proven track record of positive results in a similar role
  • Excellent skills in MS office, (SAP) and other relevant approval systems understanding and digital savvy
  • Relevant pharma knowledge is an asset
  • Experience from a business support or coordinator role is preferred
  • Executive PA or Business administrative project management expertise
  • Budget management skills including handling of financial systems
  • High knowledge of the LIF regulatory system (completed IMA course is an advantage)
  •  Experience managing external vendors, including procurement, contracting, follow-up
  • Ability to manage and work in a complex and matrix driven organization
  • Customer oriented, Service minded and helpful               
  • Structured and able to prioritize                             
  • Flexible                   
  • Positive mindset                             
  • Accountable and possessing the “solve it- attitude”
  • Strong administrative skills and experience          
  • Excellent communication skills (written & spoken)
  • Languages: Swedish, fluent in English (both in written and orally)
