To strengthen our Talent Acquisition, Development & Learning (TAD&L) Group, based in our Headquarters in Brussels, Belgium, we are looking for a talented individual to fill the position of: Head of Learning Administration & Logistics. 
As a Head of Learning Administration & Logistics you will be accountable for the delivery of world class learning services and solutions, supporting Learning Logistics and Learning Technology administration to ensure a pleasant end-to-end Learning Experience in a Biopharma environment.

•    Lead a solutions-oriented team (internal and external) responsible for delivering and enhancing learning experiences across channels and platforms to enable meaningful learning engagement and better learning outcomes
•    Drive continuous improvement of the learners experience as well as process efficiency to support UCB for developing and monitoring competencies and compliance.
•    Manage resource allocation to ensure smooth operational excellence as well as supporting key TAD&L initiatives

 

You will contribute by: 
Executing seamless learning experiences while maintaining a customer focused solutions centric mindset

•    You will work closely with the Learning Experience Head to assure the operational aspects of learning meet the demands of their learning experience design and content, while fitting with our current LMS and learning technology platforms. You will also be responsible for the existing portfolio of learning experiences, scheduled offerings and learning curricula in LMS and for the day-to-day operational learning activities
•    In partnership with Learning Experience and TAD&L team, establish and deliver on procedures to execute program logistics, registration, communications, delivery, materials, on-site coordination, follow-up and budget tracking.
•    Oversee team management of day to day learning experience delivery globally and regionally
•    Monitor adoption & enhancement requests for future changes
•    Ensure assessment and evaluation of each program accordingly to what has been designed
Drive LMS utilization and evolution based on Business needs together with IT and Business stakeholders
•    Ensure daily LMS operational activities are managed effectively and are running smooth in UCB
•    Follow-up on key operational issues and manage those issues that have global and regional deployments
•    Set up governance of the LMS for optimization of the system as well as for the data quality
Manage and leverage our global external partner for LMS administration
•    Take ownership on the data quality in the system (define, align, inform, monitor, improve)
•    Knowledge sharing and best practice to ensure consistency and quality on how the system is used in UCB
•    Define and prioritize the different LMS related projects together with the TAD&L to increase its value, insights and efficiency for Learner, Manager and Administrators
•    Manage daily operations effectively in collaboration with the Learning Operations Specialists, IT team and third parties (external partners)
•    Accountable for the optimal functioning of the learning experience logistical delivery and all operational processes in this domain
•    Employ data and stakeholder input to analyze current performance and take initiatives to continuously improve current practices, systems and tools to increase the learner/manager experience in coordination with the Learning Partners and the Learning Experience team
•    Problem solving: Follow-up on key operational issues and manage those issues that have global and regional deployments
•    Create valuable impact by learning from issues and implement solutions globally
•    Ensure end-to-end visibility of the process 
Manage supplier relationship and support for logistics 
•    In partner with TAD&L team, develop and implement supplier strategy for logistics
•    Implement guidelines on Supplier selection, engagement, and evaluation
•    Supplier Management
•    Manage Suppliers on an ongoing basis for learning delivery needs, and evaluate when necessary
•    Coordinate and communicate preferred vendor choices with Learning Organisation
•    Work in partnership with vendor network to execute short and long term goals
Maintain knowledge of innovative learning methodologies and trends and implement where they add value for both logistics and Learning Technology solutions
•    Ensure needs of internal stakeholders exceed expectations to create the best user experience.
•    Seek feedback from learners and managers around new ideas by asking tough and insightful questions
•    Use personal networks to link ideas and people that might not otherwise interact
•    Provide outside-in best-in-class perspective. Detect market trends and reach-out to other organizations to improve the experience

 

Interested? For this position you’ll need the following education, experience and skills: 
•    7-10 years experience in HR Operational Excellence and/or service delivery teams
•    Experience and understanding of Learning Management Systems and Learning Technology applications (SAP a plus)
•    Strong people leadership skills with cultural acumen and learning agility
•    Customer service solutions-oriented mindset that is able to proactively anticipate needs of others and deliver on best in class experiences (event management a plus)
•    Excellent interpersonal and communication (verbal and written) skills 
•    Ability to develop trustful relationships with internal and external stakeholders to accelerate achievements
•    Proven program management skills including the ability to effectively and strategically analyse and communicate data, information and ideas.
•    Proven ability in devising and implementing office systems and process and managing a complex administrative function
•    Demonstrates keen business acumen with knowledge of vendor management/offshoring
•    Exceptional time management skills, able to manage complex projects simultaneously
